Bylaws of

East Chambers Agricultural Youth Committee

Article 1

“Name”

 Section 1 Name of Organization

             The name of this organization shall be East Chambers Agricultural Youth Committee, hereafter called East Chambers Ag Youth Committee.

 Section 2 Principal officer

              The East Chambers Ag Youth Committee will conduct their business at a location specified by the Board of Directors. 

Article 2

“Purpose”

 Section 1 Purpose

              The purpose of the East Chambers Ag Youth Committee is to promote the youth of East Chambers County in their advancement in Agriculture.

 Article 3

“Membership”

 Section 1 Eligibility

              Any reputable person who may be interested in supporting the East Chambers Ag Youth Committee for Agriculture advancement for our youth of East Chambers.

 Section 2 Quorum

             The Quorum for our meetings will be a minimum of eight total members with at least two officers of the Board of Directors present.

 Section 3 Suspension

             Members may be suspended by  the EC Ag Youth Committee for “good cause” (legally sufficient ground or reason) with two-thirds majority

present voting.

 Article 4

“Government”

 Section 1 Board of Directors

              The Board of Directors shall be comprised of four officers elected by the voting members of the East Chambers Ag Youth Committee.  Elected positions to the board shall be held at the June meeting of every year. 

 Section 2 Elected officers

              The following will be elected officers:

               President

               Vice-President

               Secretary

               Treasurer

 Section 3 Responsibilities of officers

                All elected officers shall attend all regular meetings.  If an officer has more than 4 unexcused absences, the officer shall be suspended.

 Section 4 Regular Meetings

              All regular meetings of the East Chambers Ag Youth Committee shall be held on the third Tuesday of every month at 7:00 p.m. at a location

specified by the Board of Directors.

 Section 5 Voting Privileges

              Any active member that is present at any meeting held by East Chambers Ag Youth Committee has the right to vote excluding being able to vote in the FFA officer elections.  Ag Youth vote counts for 40% towards the elections of FFA officers.  In order to be eligible all members must have attended at least eight meetings during the fiscal year, which is from April – March.

 Section 6 Advisor

              The current Agriculture teacher or teachers will be the automatic advisor(s).  The advisor(s) will work in conjunction with the East Chambers Ag Youth Committee in all aspects of our organization.

 Section 7 Vacancies

              When a vacancy occurs on the Board of Directors, the unexpired term shall be filled by a called election or appointed by the Board.

 Section 8 Term

              The term of each officer shall be for one year.

 Section 9 Duties of the President

              The President shall be the chief executive officer of the East Chambers Ag Youth Committee, and shall preside at all meetings regular or special.  The President shall sign all documents of legal nature affecting the East Chambers Ag Youth Committee.  The President shall carry out all other duties imposed by these by-laws and by those imposed by the Board of Directors.

 Section 10 Duties of the Vice President

              The Vice President shall exercise all the authority of the President during the President’s absence or disability.

 Section 11 Duties of the Secretary

              The Secretary shall be responsible for the recording of the minutes of our meetings.

 Section 12 Duties of the Treasurer

              The Treasurer shall be responsible for reporting to the Board and its members the financial condition of the East Chambers Ag Youth Committee.

 Article 5

“Finance”

 Section 1 Depositories

              The revenues acquired by the East Chambers Ag Youth Committee will be deposited into one of our two accounts at the bank in Winnie.

 Section 2 Regular Account

              Deposits from fundraisers or donations disbursed at the discretion of Board of Directors on youth related projects or supplies for the organization.

 Section 3 Special Account

              Deposits from fundraisers or donations to be used strictly for FFA Convention attendees

 Section 4 Fund Raisers

              The East Chambers Ag Youth Committee will sponsor numerous fund raisers during the year.  These fundraisers will be voted on at the East Chambers Ag Youth Committee’s regular meetings.

 Section 5 Check Disbursements

              All checks shall require two signatures of which will be any of the four elected officers of the Board of Directors.

 Section 6 Buyer’s Committee

              The President will appoint a buyers committee to attend market animal shows on behalf of  the East Chambers County exhibitors.

         Section 7 Acquired Barn Purchases

              All monies received after youth projects acquired are sold will be deposited into the regular account. The East Chambers Ag Youth Committee will make an effort to resell acquired projects.`

   Article VI

“Amendments”

 The Bylaws of the East Chambers Ag Youth Committee may only be amended by no less than two-thirds vote of the membership present at any meeting.  Adopted and signed this ______ day of ___________ 2005.

East Chambers Ag Youth Committee

Minutes of August 16, 2005 Meeting

 

            David Murrell called the meeting to order at 7:00PM. Angela Hale, secretary, read the minutes of the previous meeting.  Troy Dow moved to accept the minutes, Kyle Rayburn seconded the motion. The motion passed, the minutes were approved as read. Helena Dow gave the treasurer’s report. Nick Dow moved to accept the report, Dina Murrell seconded the motion.  The report was approved as read.

             

            Under old business, Janet Vayon gave a report on the Gulf Coast Classic Show scheduled for Saturday, September 3, 2005. She informed us the judges had been booked and that the ad was in the “Showbox” magazine and that we should expect to be billed for 1/3 of the ad. Janet was expecting approximately 70 to be in attendance at the show, showing that scheduling more than one show in a weekend will help bring larger crowds.$3000 was expected to be raised. She also commented that we do need help setting up and running the show. 6:30-8:00AM will be check-in and showmanship would start at 9:00AM. Scheduled judges were David Fleming from Cinco Ranch, Robert Hill from Katy, Texas, Michael Poe and Greg Tucker from Tempsen and Rick Hoarse from Athens. Hamm’s Show Supply will be there for show supplies. A concession stand was to have drinks and possible donuts. Also under old business was the raffle and everything had been delivered to the winners.

 

Under new business the “Back to School Dance” was discussed and it was decided that we would check on tentative dates for the dances as follows:

August 26-“Back to School Dance”

December 2 or 9-Christmas Dance

February 10-Valentine’s Dance

May 12 or 19-End of the Year Dance

 

Jamie Vayon told about a cash raffle that she had participated in with another organization as a possibility for a future fund raiser.  We are also checking on the date of February 4, 2005 for the delivery date for our Super Bowl Sunday Brisket Sale along with planning to do the Pistolettte Sale at the first of November. The By Laws were read and corrected. Troy Dow moved to accept the bylaws, Sherry Majors seconded the motion. The bylaws were accepted as written.

 

Helena Dow announced the East Chambers FFA and 4-H had won the stall awards at the Chambers County Youth Project Show. She also drew names for items from the 100 Club, Sherry Majors won the hat and Arnold Majors won the bag.

 

Mindy Credeur also announced that FFA shirts were also available for sale to the parents.

East Chambers Ag Youth Committee

Minutes of September 20, 2005 Meeting

 

On September 20, 2005 the meeting of the East Chambers Ag Youth Committee was called to order by President David Murrell at 7:30PM. There were approximately 15 members present. Mr. Neuman announced that the Grimes County Fairgrounds is accepting show animals due to Hurricane Rita. Mr. Murrell offered to feed and water any animals left in the area whose owners planned to evacuate. He also offered his property to anyone wishing to move their animals inland. Also announced was a meeting at 11:00AM on the 21st to decide on mandatory evacuation of Chambers County.

 

Janet Vayon gave a report on the Gulf Coast Classic.

 

The next fund raiser would be the December junior high dance It was announced that there would be changes in the format of the dance due to input from the East Chambers Administration wishing for the age groups to be more divided. Discussions included dividing intermediate and jr. high or excluding the eighth graders.

 

Mr. Murrell announced that he had been approached by the Brahma exhibitors to hold a show. We discussed if we could benefit from it. Mr. Arnold Majors mad the motion for Mr. Murrell to speak to the Texas Rice Festival on behalf of the Ag Youth Committee about the Brahma show. Mr. Murrell suggested we invite them to our November meeting.

 

Helena Dow read the financial statement. Troy Dow moved to approve it. Arnold Majors second it.

 

The minutes were read, Arnold Majors made the motion to accept the minutes. Janet Vayon second. The minutes were approved as read.

 

Janet Vayon announced she had 8 slots available for sponsorship of awards for the Texas Rice Festival Livestock Show. The 8 slots were filled by Ag Youth Committee Members.

October 18, 2005

East Chambers Ag Youth Committee  Meeting Minutes

 

 

Ben Kiker called the meeting to order. It was announced that the East Chambers FFA Open House had been postponed due to the Hurricane Rita Relief Show.

 

December 9th had been discussed previously as the date for an Ag Youth Committee fundraiser for the 5th-7th grades. Mindy Credeur made the motion to have the December 9th dance. Sherry Majors second it. The motion passed.

 

The Hurricane Rita Relief Show will have a meeting October 24 at White’s Park in Anahuac. Everyone interested was invited. The market show and auction was scheduled for October 29-30.

 

December 10th –11th will be the TRF Prospect Show which was also rescheduled due to Hurricane Rita.

 

February 3rd is another date to remember. That was the tentative date set for our Superbowl Brisket Sale.

 

The meeting was adjourned.
